Summary

To provide full secretarial support to the Regional Chief Executive and the Group Health Safety & Environmental Director.

Key Responsibilities

1. Full secretarial support to the Regional Chief Executive. This includes:-

  • Maintaining confidentiality at all times.

  • Plan and organise Regional Chief Executive’s work schedule to maximise their use of time, allowing adequate time for meetings to ensure that their day runs smoothly and they have achieved all they have planned to.

  • Ensuring regular communication between yourself and the Regional Chief Executive, so that both of you are aware of movements/plans, ensuring that both of you have accurate information and your manager arrives promptly for meetings.

  • Travel planning and booking accommodation as required.

  • Handle all phone calls and mail, screening as appropriate to ensure Regional Chief Executive’s time is used efficiently 

  • Ensure that the production of typing, including divisional Board Reports, photocopying and faxing is accurately presented in a professional style and is in line with company procedures

  • Preparation of Powerpoint presentations

  • Arrange meetings and seminars, ensuring as appropriate that participants have all relevant papers in advance and ensuring specifically that the Regional Chief Executive is well prepared for meetings.

  • Taking minutes at meetings, transcribe and present back to attendees accurately and in the appropriate format

  • Make sure any emails to the Regional Chief Executive which require printing are produced and ready for when he is next in the division.

  • Ensure weekly information pack is printed and collated on time.

  • Deal with customer correspondence in a sympathetic manner and ensure the Regional Chief Executive has all the information he needs to respond in a timely manner.

  • Manage and maintain an effective filing system, ensuring that filing is completed on a regular basis, so all files are kept up to date and can easily be accessed by the Regional Chief Executive.

  • Interface with Group CEO’s secretary and secretaries working in the divisions in which the Regional Chief Executive has responsibilities.

2. Full secretarial support to the Group Health Safety & Environmental Director.  This includes:-

  • Maintaining confidentiality at all times.

  • Assisting with recruitment and selection, organising interviews and ensuring all information is to hand for the smooth running of the process.

  • Produce letters, memos, reports, spreadsheets.

  • Support with the minute taking at Group HS&E Leadership Meeting;

  • Providing information packs for external meetings e.g. HBF etc.

  • All travel arrangements including flights, rail and hotel accommodation, mileage documentation etc to ensure that the Group HS&E Director arrives at his meetings on time.

  • Providing itineraries to support travel arrangements

  • Schedule divisional meetings with the Managing Directors, Construction Directors and HS&E staff

  • Liaise with Senior Secretaries to finalise above arrangements.

  • Arrange HS&E team meetings.

  • Diary management to ensure use of time is maximised.

3. Collate company information as required.

4. Ensure familiarity with Redrow Group’s Health, Safety and Environmental policies and comply with employee responsibilities.

5. At all times comply with company policies, procedures and instructions.

6. Implement new ideas and methods and continue to seek ways of both improving contribution to the organisation’s goals and enhancing the reputation of the company.
