Key Responsibilities

Input and generate data for the sales management computer system and to monitor the timely production of such information.

Issue drawings and other information internally to other departments. All drawings to be logged using a drawing issue sheet and drawing register.

Print and fold drawings from computer and hard copy on request. Produce coloured drawings for internal and external purposes (computer & manual) as required.

Organise, apply for and obtain site postal naming & numbering schemes.

Assist with organisation of public consultation events, to include sourcing and booking venues, production and distribution of flyers/posters advertising the event.

Full secretarial support to the Head of Department(s). This includes:-

Plan and organise manager’s work schedule to maximise their use of time, allowing adequate time for meetings to ensure that their day runs smoothly and they have achieved all they have planned to.

Travel planning and booking accommodation as required.

Ensure that the production of typing, including Board Reports, photocopying and faxing is accurately presented in a professional style and is in line with company procedures.

Arrange meetings and seminars, ensuring as appropriate that participants have all relevant papers in advance.

Taking minutes at meetings, transcribe and present back to attendees accurately and in the appropriate format.

Take telephone queries and questions and deal with or pass to the relevant members of the team.

Prepare PowerPoint presentations on behalf of the team.

Liaise with the team and ensure they receive all incoming post including relevant copies of letters, memos, reports and standard forms by fax or post regularly.

Implement new ideas and methods and continue to seek ways of both improving contribution to the organisations goals and enhancing the reputation of the company.

Other administrative duties as reasonably required by the Department Heads.

Record and monitor holidays and absence records.

At all times comply with company policies, procedures and instructions.

Ensure familiarity with Group Health, Safety and Environmental policies and comply with employee responsibilities.
